1. Purpose of This Policy

This policy explains how LloydysWorld CIC recruits, supports, manages and values volunteers. Volunteers are essential to our mission of providing clothing parcels and essential items to people in need across Portsmouth and Southsea.

2. Our Commitment to Volunteers

  • Make volunteering flexible and accessible

3. What Volunteers Can Expect from Us

  • Access to training where needed
  • A named contact for support
  • Regular communication
  • Reimbursement of reasonable out of pocket expenses
  • Safe working conditions and risk assessments
  • Inclusion in team updates and community events

4. What We Ask from Volunteers

Volunteers agree to:

  • Follow LloydysWorld CIC policies including safeguarding, data protection and health and safety
  • Carry out agreed tasks reliably and safely
  • Communicate any issues or changes in availability
  • Respect confidentiality
  • Treat staff, volunteers and service users with kindness and respect

This is not a contract. It simply sets expectations to help us work well together.

5. Volunteer Roles at LloydysWorld CIC

Roles may include:

  • Sorting and preparing preloved clothing
  • Packing clothing parcels
  • Supporting community events
  • Collecting donations
  • Delivering parcels
  • Photography and content support
  • Admin and stock organisation

Roles are flexible and can be adapted to suit volunteer skills and availability.

6. Recruitment and Selection

We aim to make volunteering accessible to everyone. Recruitment may include:

  • Informal conversations
  • Basic role matching
  • Safeguarding checks where required
  • Right to work checks only when legally necessary
  • Reference checks for roles involving vulnerable people

We do not discriminate based on background, ability or circumstances.

7. Induction and Training

All volunteers receive:

  • An introduction to LloydysWorld CIC
  • A tour of the workspace
  • Health and safety guidance
  • Role‑specific training
  • Information on who to contact for help

8. Support and Supervision

Volunteers will have:

  • A named supervisor
  • Opportunities to give feedback
  • Regular check‑ins
  • Clear communication about changes or new tasks

9. Expenses

Volunteers can claim reasonable out of pocket expenses such as:

  • Travel
  • Parking
  • Small purchases agreed in advance

Receipts must be provided. Volunteers are not paid and gifts must remain modest.

10. Insurance and Safety

We ensure:

  • Employer’s liability insurance covers volunteers
  • Risk assessments are completed for tasks and locations
  • Volunteers receive safety guidance before starting
  • Equipment is safe and appropriate

11. Data Protection

Volunteers’ personal information is stored securely and used only for volunteering purposes. We follow UK GDPR requirements.

12. Problem Solving

If issues arise:

  • We discuss concerns openly and respectfully
  • We aim to resolve problems quickly
  • Volunteers may be moved to a different role if needed
  • In rare cases, volunteering may be ended if safety or conduct concerns arise

13. Recognition and Appreciation

14. Leaving LloydysWorld CIC

Volunteers can leave at any time. We appreciate notice so we can plan ahead. We welcome feedback to help us improve.
